If you’re wondering whether Apple calendar or Google Calendar is best for business well, I’m going to take you right through all the reasons why we believe Google Calendar absolutely beats the pants off Apple for all business users. Hi, my name is Peter Moriarty. And if you are new to the channel, I run a business called it genius. And we have helped literally 1000s of business owners all over the world get more value out of Google workspace. And so we are experts in everything, Google. And we believe in helping small business owners have the right technology in place, so you and your teams can be productive, and you can build most successful businesses.

Now in this video, I’m going to share with you about Apple Calendar, Google Calendar, and why we made the switch from Apple to over to Google many, many, many, many years ago, and why we think it’s absolutely nuts for anyone into the business these days in business these days to still be using Apple calendar. And so I’ve got four or five different points to share with you guys. But the best place for me to start really is features and you may choose to pause or exit the video after this. But there are so many things that make Google Calendar great that you just miss out on if you’re using Apple calendar on your local machine. Now, if you’re a Google workspace user, and you have synchronized your business calendar down to the Apple calendar, like that’s absolutely fine. But using Google Calendar in the wave gives you access to some of its most amazing features. So some of those are and I’m going to try and move through these quickly. So jump along for the ride. Number one is making sure you can schedule and see the schedules of your whole team in one pane, which is an absolutely amazing feature. Next is automatically adding meetings to an event whether you’re using Google major, or zoom, being able to quickly have multiple events and video calls. So when someone goes to an event, they just click one button, and then straight into a video call. Number three is appointment slots, being able to open up your Google Calendar for team members or even people outside your company to add an appointment slots. And you can potentially even use third party applications to connect to your Google Calendar for that to work as well. Next, finding a time this is one of the best features where you just type in different team members names that you’d like to meet with. And it will automatically find a time slot that works for all of you to have a meeting together based on your availability, amazing for work teams. Next up is working hours, we all have teams who are working in different locations or different time zones potentially, and setting your working hours means that you will have confidence that you can schedule a meeting with a team member when they are actually going to be available. Next up we’ll clocks that’s really useful, particularly if you’re working across different time zones, they are automatically available within Google Next capacity planning, Google will automatically now show you just how many meetings you have during the course of the week. And you can see how busy you are compared to previous weeks whether or not you might want to bump that new fresh idea meeting to next week. So you’ve got a little bit more breathing space on your calendar. And finally, out of office days, this is one of my favorite features of Google workspace, you can set either a couple of hours or even a whole day or multiple days as out of office. And Google will automatically decline meetings for you previous and new invitations that comes through as well and notify your team that you’re out of the office. Now, not only will you be able to do this on your Google Calendar, but your out of office will also show up in chat and an email as well so that your team members can see that they shouldn’t expect a response from you until you’re back from your holiday. So that hasn’t convinced you why he should be using your calendar in the online browser. Well, here’s a few more reasons why you might choose to now the big one is sharing Google makes it really easy to create group and shared calendars. And they work the best on the web, you click them on and off easily. But also you can synchronize not only to calendars with your colleagues, but also public calendars as well and basically share different levels of access to your calendar to different teammates. Now, not all of these features work when you synchronize down to a local Apple calendar. And so they are best done online and in Google Calendar. Next up is data privacy and security. And while you’re using a secure protocol to connect your apple calendar into your Google account online, if you choose to synchronize the two, you don’t have all the same features of operating inside the Chrome browser with a fully encrypted connection between you and Google at all times. Also, when you’re working on your local computer, you have the opportunity for someone like that family member to potentially get into your computer by accessing your password, or perhaps someone who if you still if you lose your computer, someone perhaps getting into a computer, it’s not quite encrypted, that is basically a security risk and security hole waiting to happen. It also means because that data is synchronized and stored locally on your machine in an unencrypted potentially unencrypted format. What that means is that someone can actually get access to it as long as they have access to your local machine. Whereas if you have your data online and with Google, if your device is compromised, or you leave your phone or your computer on a train or a bus, then your administrator can actually switch off and protect your account so no one can ever get access to your data. Next up I want to talk about integrations. Now Apple calendar does have the option to integrate with third party applications although they Pretty unlimited. Google has the Google workspace marketplace. And that has an amazing collection of apps and add ons to get more out of your calendar. Now think about scheduling tools, think about tools to automate calendar events. Think about if you’ve got a work management application, and you want to automatically have calendars that are happening in your work app or events have automatically scheduled and synchronized into a Google Calendar. There are many, many more options to work with integrations with third party apps. And that actually shows you some of our favorite ways of integrating different apps together, Google Calendar being one of them, it gives you the option. If you’ve gone through all of these and you’re still sitting on the fence, take it from me, someone who’s helped literally 10s of 1000s of employees across 1000s and 1000s of businesses, I have seen millions of times in businesses, maybe not literally millions, but many, many times in businesses, synchronization issues between Apple calendar and Google Calendar. And that is customers who may be on their mobile phone or putting things into Apple calendar, and it just doesn’t synchronize off to their Google Calendar. And then they start missing events, or they’ve got that important client meeting, and nobody got the invitation and you thought it was on your phone or they thought it was on their phone and it didn’t quite get across, or from time to time you’re working on your laptop, it’s a Mac iMac or, or a MacBook Pro. And you’ve saved everything into your local calendar inside Apple calendar. And for some reason, it doesn’t push up into the cloud into your Google workspace calendar, well, then you have the problem where you lose your calendar events, or for whatever reason, they’re not connected to your phone when you’re out and about and you end up missing the meeting. All of these just make business difficult. And so my recommendation is to keep them simple. It’s easy and cheap and reliable. If you utilize Google calendar online and the browser, you’re going to have much less problems.
