Job Overview:
As an Associate Project Manager, you are the engine room of our “Tech Done” promise. You aren’t just managing tasks you’re building the pipes that allow our customers to scale. You’ll bridge the gap between complex technical migrations and the human experience, embodying our goal to be the “Amazon Prime of IT”: highly responsive and more convenient than anyone else in the market.
This is an entry-level role designed for a process-oriented IT graduate who loves order and efficiency. Reporting to the Head of Projects, you will manage end-to-end Google Workspace migrations and technical setups making every client transition seamless, frictionless, and world-class.
Core Accountabilities:
The Associate Project Manager is held accountable for the following objectives:
- Project Delivery: Deliver assigned projects — including Google Workspace migrations and management engagements — on time and within scope under senior guidance.
- Data Integrity: Maintain 100% accuracy across all project records in Asana and BILL as the foundation for PMO decision-making.
- Proactive Communication: Build and sustain a rhythm where every client feels informed and supported without having to chase for updates.
- Skill Development: Demonstrate measurable growth in scoping, client communication, and commercial awareness through structured mentorship each quarter.
- Scorecard Mastery: Establish a baseline of 100% data integrity while building the fundamentals to hit ‘Meets’ targets.
Key Responsibilities:
Project Coordination and Delivery
- Daily Coordination: Execute scheduling, prerequisite chasing, milestone tracking, and closure logistics.
- Record Maintenance: Keep tasks, due dates, statuses, and time logs in Asana current and reliable at all times.
- Senior Support: Assist Senior PMs on complex projects by owning specific workstreams or administrative functions.
- Project Kickoffs: Run structured kickoffs for smaller projects following the established itGenius SOP.
- Risk Management: Track progress against scope and flag blockers immediately with a proposed path forward.
Client Communication
- Primary Contact: Act as the face of itGenius for clients on all assigned projects from kickoff to closure.
- Regular Updates: Send proactive status updates every one to two days to ensure clients never have to ask for status.
- Expectation Setting: Clearly define timelines, deliverables, and communication cadence at kickoff.
- Issue Triage: Handle basic concerns directly and escalate complex issues with full context to your supervising PM.
Documentation and Systems
- Knowledge Base: Update internal knowledge base articles and SOPs, particularly for AI-assisted workflows.
- Time Tracking: Log all billable hours accurately every day to inform project profitability metrics.
- Runbook Development: Document repeatable tasks to ensure knowledge is reusable and not reliant on individuals.
- Health Monitoring: Use the Asana dashboard to flag project risks to the team and supervising PM.
Technical Support and Triage
- Technical Troubleshooting: Leverage your background to troubleshoot basic Google Workspace issues before escalating.
- GWS Coordination: Own backend tasks like DNS checks, user provisioning verification, and migration readiness assessments.
- Feasibility Reviews: Conduct basic DNS and domain checks using tools like MX Toolbox as part of pre-kickoff reviews.
Required Qualifications:
Education & Experience
- Education: Bachelor’s degree in IT or Business preferred, or equivalent technical/communication experience.
- Experience: Minimum two years in IT support or technical customer service in a client-facing environment.
Skills & Bonus
- Core Skills: Professional communication, deep process orientation, and basic understanding of DNS and SaaS platforms.
- Bonus (preferred but not required): Experience with Google Workspace Admin, Asana, or managed services scoping.
